Tradeshow Display Shipping Tips
Shipping isn't a mystery.
But there are a few tricks to keep in mind.
How you pack does matter.
Choose a shipping container that will securely and safely pack all the component pieces. It needs to be strong enogh to protect and large enough to leave space for adaquate cushioning. Don't skimp on the packing material as you want to avoid shifting.
Remember: if it can shake, it can break.

How you unpack does matter.
The shipping container was either designed for the item, or chosen because it securely and safely packaged all the component pieces. Take the time to note how the container is packed before you start to remove what is in it. Re-pack the system the same way.
And remember: if it can shake, it can break.

Don't wait until the last minute to decide how and when you are going to ship your display to the show. Holidays, weekends, weather...so many variables need to be considered. Allow 4-5 business days for ground shipping service.

Consider purchasing a separate sturdy tote with handles, or a second shipping container, and ship the display graphics in their own container. Packing separate display graphics in with the exhibit system might not be a good idea. The weight of the frame, or corners of the display, etc, could damage your graphics. (The hanging mural panels for a popup display replace the fabric panels, so they ship in the same safe and secure place in the shipping case. And some displays are designed so the graphics can ship with them. Just make sure FIRST before you ship.)

Take care when addressing the package.
Print clearly. Check spelling. Double check for accuracy. Postal codes, name and phone number of the receiver (contact person), as well as complete physical street address are required.
Do not try to ship to an APO/FPO address.

Place shipping information, including return labels, inside the container(s).

Know the tracking number.

Shipping time and the cost depend on whether you chose:
to use ground service or air (i.e UPS or Fedex)

to take the display system with you (i.e. extra baggage on flight or in your vehicle)

to have the exhibit first shipped to you, then you ship it to the show

to have the exhibit shipped directly to the show

Shipping your Exhibit Display Booth to the Exhibit Show
There are basically two ways to ship your display booth and trade show items for your exhibit.
1. The preferable way is to ship to the exhibit show is directly to your booth in the exhibit hall. Then it will be sitting there waiting for you when you arrive on set-up day.

The show organizer will provide you with the shipping information... dates, and exact address including display booth number. This tends to be a complex address because it usually involves a company that holds the items in storage for a day or two then puts them in your booth space. There is a specified window of just a few days in which the items must arrive. You must always plan for the items to arrive on the first day of that window.... simply because shipping time, especially ground shipping time, varies - snags, inclimate weather, etc. Call or go online for cost. Package dimensions, weights and zip codes will be needed.

FYI: When shipping a newly purchased display system, the exhibit dealer should be able to either ship the display system to the exhibit show or to you.

2. The second -- and less desirable way -- is to ship to your hotel. This is a fall-back plan if you miss the timing for the first option. It works this way: Send a package to the hotel where you will be staying, addressed to yourself as a guest. It is less desirable for two reasons:

First, it may not work. Our experience is that most of the time, when someone goes to the desk and says, "Do you have a package for me?" they say no, even though the tracking number report says someone at the hotel has signed for it.
Second reason you want to avoid this technique is that you then have to carry the package yourself from the hotel to your display booth in the exhibit hall. That may be OK for a box of brochures, but very inconvenient for a larger or heavier display item.

(Note: If the harried desk clerk ever says the hotel doesn't have your package, you might consider producing a ten dollar bill, saying, "I'm pretty sure it's here; please look again.")
Shipping your Exhibit Display Booth to Your Business
There are a variety of reasons why you might like to have the display system shipped to you, if you have time before the show. The most popular reason is to give you the opportunity to become familiar with it.
  • Name of the receiver (contact person)
  • Phone number of the receiver (contact person)
  • Complete physical street address of destination, including Postal Code
All the above shipping tips apply. The new piece of information is the double shipping charge this may incur. You will be charged for the shipping of the display to your place of business, and then you will need to arrange the shipping, and its cost, from your place of business to the show.
